1. Who we are

HouseScanner (also known as Huisradar) is operated by HouseScanner B.V., based in the Netherlands. We run a rental listing aggregator that helps people find homes in the Dutch rental market faster.

We are the data controller (verwerkingsverantwoordelijke) for the personal data described in this policy.

2. What data we collect and why

We only collect data that is necessary to provide our service (data minimisation principle).

2.1. Account data

What: Name, email address, password (hashed), preferred language

Why: To create and manage your account

Legal basis: Performance of a contract (Article 6(1)(b) GDPR)

Retained for: As long as your account is active, plus 30 days after deletion request

2.2. Tenant Passport data

What: Display name, date of birth, employment type and employer details, monthly income (gross and net), household tags (e.g. non-smoker, pet owner), preferred move-in date and area, and the supporting documents you choose to upload (ID, income proof, payslips, bank statement, reference letter).

Why: To build your shareable Tenant Passport profile that you can send to landlords.

Legal basis: Your explicit consent (Article 6(1)(a) GDPR) — every field is optional and you fill it in voluntarily.

Retained for: As long as your account is active. Deleted immediately upon account deletion.

2.3. Search area data (Hunt Zones)

What: Polygons, neighbourhood selections and radius values you draw on the map to define where you want to be alerted.

Why: To save your custom search areas and filter listings to those zones.

Legal basis: Performance of a contract (Article 6(1)(b) GDPR).

Note: The app does not request access to your device GPS or precise location. Map interactions are anonymous to us — only the shapes you save are stored.

Retained for: Until you delete the zone or your account.

2.4. Search preferences and alert settings

What: Filter settings (price, size, type, city), notification preferences

Why: To send you relevant listing alerts

Legal basis: Performance of a contract (Article 6(1)(b) GDPR)

Retained for: Until you delete them or your account

2.5. Subscription and billing data

What: Subscription tier, billing period, payment status

Why: To manage your Pro subscription

Legal basis: Performance of a contract (Article 6(1)(b) GDPR); Legal obligation for financial records (Article 6(1)(c) GDPR)

Note: Payment processing (card numbers, bank details) is handled entirely by Stripe. We never see or store your payment details.

Retained for: Active subscription data for the duration of the subscription + 7 years for financial administration (Dutch tax law requirement)

2.6. Viewing log and notes

What: Viewing appointments you log, notes you write about properties, Rental HQ templates

Why: To help you track your rental search

Legal basis: Performance of a contract (Article 6(1)(b) GDPR)

Retained for: Until you delete them or your account

2.7. Landlord reviews

What: Reviews you submit about landlords (linked to your account) and landlord responses delivered via magic link.

Why: To help other renters make informed decisions.

Legal basis: Legitimate interests (Article 6(1)(f) GDPR).

Note: Reviews have a 24-hour grace window during which you can edit or withdraw them. After they are published they cannot be edited, but the entire review is deleted together with the rest of your account when you tap Delete Account in Settings.

Retained for: For the duration of your account. Removed on account deletion.

2.8. Device and technical data

What: Device type, OS version, app version, push notification token

Why: To send push notifications and debug technical issues

Legal basis: Performance of a contract (Article 6(1)(b) GDPR)

Retained for: For the duration of your account

2.9. Usage analytics

What: Anonymous, aggregated app usage statistics (e.g. which features are used)

Why: To improve the app

Legal basis: Legitimate interests (Article 6(1)(f) GDPR)

Note: This data is not linked to your identity. No third-party advertising analytics are used.

3. Third parties we share data with

We do not sell your data. To operate the service, we use the following processors, each bound by a GDPR-compliant Data Processing Agreement. We do not use third-party advertising networks or data brokers.

4. International data transfers

Some of our processors are based outside the EU/EEA (see table above). Where this is the case, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) approved by the European Commission, or reliance on adequacy decisions.

5. Automated decision-making

Your Tenant Passport Score (0–100) is calculated automatically based on the information you provide (employment status, income, rental history, etc.). This score is a tool to help you present yourself to landlords — it does not determine your eligibility for housing and has no legal or similarly significant effect on you. You can view and update the underlying data at any time from your profile.

6. Your rights under GDPR

As a data subject in the Netherlands, you have the following rights:

Access (inzage): Request a copy of the personal data we hold about you

Rectification (rectificatie): Ask us to correct inaccurate data

Erasure (verwijdering / "right to be forgotten"): Request deletion of your account and associated data

Restriction (beperking): Ask us to limit processing in certain circumstances

Portability (overdraagbaarheid): Receive your data in a structured, machine-readable format

Object (bezwaar): Object to processing based on legitimate interests

Withdraw consent: Where processing is based on consent, withdraw it at any time (this does not affect processing before withdrawal)

To exercise your rights: Email privacy@housescanner.nl or use the "Delete Account" option in the app settings. We will respond within one month as required by GDPR.

Exception: Landlord reviews cannot be deleted. This is disclosed before submission, and is necessary to maintain the integrity of the review platform.

7. Account deletion

You can delete your account at any time from Settings → Delete Account in the app. Tapping confirm immediately:

Cancels your subscription with Stripe and deletes you as a Stripe customer

Removes your profile, preferences, alerts, saved listings, viewings, Tenant Passport, uploaded documents, landlord reviews, partnership, and any other personal data

Signs you out and ends the session on this device

The only data we keep is the financial billing record (invoice IDs and amounts) for the 7 years Dutch tax law requires us to retain. That record contains no Tenant Passport content, no documents, and no in-app activity — only the amounts and dates needed for tax compliance.

8. Data security

We protect your data using:

Encryption in transit (TLS 1.2+) and at rest

Row-level security on all database tables (Supabase RLS)

Access restricted to authorised personnel only

Regular security reviews

In the event of a data breach that poses a high risk to your rights, we will notify you and the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours as required by law.

9. Children

HouseScanner is not directed at children under 16. We do not knowingly collect personal data from anyone under 16. If you believe we have inadvertently collected such data, please contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. When we do, we will update the "Last updated" date above and, for material changes, notify you via email or in-app notification.

11. Complaints

If you believe we are not handling your data correctly, you have the right to lodge a complaint with the Dutch Data Protection Authority:
